This policy explains how Sound Skylights Stockport handles personal information. It covers the details you send through the enquiry form on this website, by WhatsApp or by email, what we note at a survey, and the records we keep if you go ahead with a job. We are a service-area business with no public premises, so the contact details below are the ways to reach us.
Section 1
Who is responsible for your information
Sound Skylights Stockport is the controller of the personal information described here, which means we decide how it is used and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
To ask anything about your information, or to use any of your rights, contact info@soundskylightsstockport.co.uk, or use WhatsApp 07880 284133.
You can also phone us on 0161 410 1861.
Section 2
What we collect and where it comes from
- The enquiry form: your name, phone number, email address, postcode or address, what you are thinking of having done and any preferred day or time for a visit.
- WhatsApp: your phone number, the name on your WhatsApp profile, your messages and any photos you send us of the roof or the room.
- Email: your email address and whatever you choose to write or attach.
- The survey: notes about the room and the roof, measurements, and photos we take of the areas to be worked on.
- If you go ahead: the job address, the fixed written quote you accepted, the details of the work, invoices and payment records.
We do not ask for more than we need to answer your enquiry and do the job. Please do not send bank card details by WhatsApp or email.
Section 3
Why we use it, and our lawful basis
UK GDPR requires a lawful basis for each use of personal information. Ours are:
- Steps you ask for before a contract: replying to your enquiry, arranging and carrying out the free survey, and sending you a quote.
- Performing a contract: carrying out the work you have agreed, arranging access, and invoicing.
- Legal obligation: keeping accounting and tax records, and passing job details to building control when the work is notifiable.
- Legitimate interests: keeping records of finished jobs so we can deal with questions and claims under our 10-year workmanship guarantee, and so we can defend or bring a legal claim if one ever arises.
- Consent: any optional analytics cookies, and any marketing messages. We only send marketing if you have asked for it, and you can withdraw consent at any time.
We never sell your information.
Section 4
Who we share it with
We share information only where it is needed for the purposes above:
- the providers that run our enquiry form and customer records, our email, and the hosting of this website, who act on our instructions;
- WhatsApp, run by Meta, when you message us there, under WhatsApp's own terms;
- whichever building control body deals with a Building Regulations notification for your job, and the planning authority where an application is made;
- a rooflight or roof window maker, with your agreement, if a product guarantee needs registering or a product fault needs raising;
- our accountant, HM Revenue and Customs, and anyone else the law requires us to tell.
Section 5
Information stored outside the UK
Some of the providers we use, such as WhatsApp and our email and form providers, may store or process information outside the UK. Where that happens, we rely on UK adequacy regulations for the country concerned, or on approved UK transfer safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
Section 6
How long we keep it
- Enquiries that do not lead to work: deleted no later than 12 months after our last contact with you.
- Customer and job records: kept for the length of the workmanship guarantee and for a reasonable period after it ends, so we can deal with any claim.
- Accounting records: kept for as long as tax and company law require, which is generally at least six years.
When information is no longer needed, we delete it, including from phones used for WhatsApp.
Section 7
Looking after your information
We keep personal information in password-protected accounts and on locked devices, limit access to the people who need it for the job, and choose providers that protect the information they hold for us. If something went wrong that put your information at risk, we would tell you and the regulator where the law requires it.
Section 8
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete it, where we have no legal reason to keep it;
- ask us to restrict how we use it, or object to a use based on legitimate interests;
- ask for information you gave us in a format you can take elsewhere, where that right applies;
- withdraw consent at any time, where we rely on it.
There is normally no charge. We reply within one month, and if a request is complex or one of several, we will tell you within that month if we need up to two more months, as the law allows.
Section 9
If you are unhappy with how we have used it
Please tell us first, so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.
We may update this policy from time to time. The date at the top shows when it last changed. How this website uses cookies is set out in our cookie policy.
